As a result, you may make some mistakes along the way until you find the most efficient way to manage your boss’s calendar. Ask for assistance with prioritizing.
“First, ask for assistance in prioritizing your tasks (and your boss’ tasks),” writes Kristina Schneider, Executive Assistant. “Thankfully, most executives acknowledge that their assistants are juggling several tasks at one time and that the types of tasks and the level of priorities of those tasks are constantly changing.”
Your boss’s priorities are frequently changing, and that means what was a priority a month ago is no longer relevant. What do you think will happen when you keep placing this outdated priority over another? Your boss probably won’t be too pleased.
To ensure that everyone remains on the same page and there isn’t any confusion, don’t hesitate to discuss which priorities are most important. “Better yet, when you’re assigned a particular task, communicate with your boss at that time about what you’re working on. Find out how time-sensitive or how important that task is,” suggests Kristina.
Create a routine for your boss.
As noted by John Rampton in a previous Calendar article, “Like it or not, we all need a daily routine. It keeps us in check. It also ensures that we get work done and maintain a healthy work-life balance.”
Think about how your day unfolds if you don’t have a routine. You may oversleep, rush out of your house to get to work on time. Maybe you’ve had days where you rush, then spend hours staring blankly at your computer screen trying to figure out what you’re going to work on.
It’s chaotic and unproductive.
Your boss definitely won’t appreciate it if that’s what their own lives looked like, daily. That’s why, if you are managing your boss’s Calendar, you need to create a routine for your boss.
This way, when the boss wake’s up in the morning — they know exactly what tasks and meetings to expect, and they’ll be prepared. More importantly, it ensures that their days consist of their priorities and not anyone else’s.
Share their calendar.
Managing multiple, separate calendars makes both you and your boss’s lives more complicated. That’s because switching back-and-forth between schedules can cause confusion and double-bookings.
For example, you may schedule a lunch meeting with a high-profile client for your boss on a specific date because their work calendar was clear. However, they have a doctor’s appointment on the same date and time, which you didn’t know because you didn’t look at their calendar.

If your boss has an off-site meeting, then keep an eye out for the traffic and weather. If you monitor these “vitals” your boss can plan if there is a traffic delay or weather change. The last thing you want is for your boss to show up to a meeting 20-minutes late and soaking wet.
Assess your boss’s schedule.
Finally, keep in mind that your boss’s schedule — along with your own schedule — is a work in progress. You’ll want to assess their schedule so that it can be adapted frequently. For example, maybe they need more time for extracurricular activities or the recurring team meetings are no longer necessary.
In other words, you need to take a look at what is and isn’t working in their calendar. You’ll make the appropriate adjustments so your boss has more time in the schedule. More time means time to catch-up and remain productive.
